Cancellation and refunds

DRAFT — needs legal review. This policy describes how Top Billing actually operates, but it has not yet been reviewed by a lawyer qualified in Indian law.
In short
- If your bid does not win, you are never charged. No refund is needed because no money is taken.
- If your bid wins, you are charged and the placement is delivered. Once the display period has begun, a winning placement cannot be cancelled and is not refundable.
- We refund only where we fail to deliver the placement you paid for.
How payment works
Bidding uses an authorisation, not an immediate charge. When you place a bid, your bank places a hold on the amount. The money has not left your account and we have not received it.
When bidding for that day closes, the highest bidders win the paid positions. Only at that point is a winning bid actually charged.
If your bid does not win
The hold is released automatically. We never capture it. Depending on your bank and card, the amount may appear as pending for a short period before it disappears from your statement — typically within a few working days. That is your bank releasing its own hold, not a refund being processed by us.
You are not charged, and there is nothing for you to claim.
If your bid wins
You are charged exactly the amount you bid — no tax is added, as we are not registered for GST. An invoice is issued and emailed to you, and your placement runs for the display period you bid for.
Cancellation
Bids cannot be withdrawn or lowered once placed. An auction only works if bids are binding; a bid that could be retracted after seeing the competition would not be a bid. Please be sure of your amount before confirming.
A winning placement cannot be cancelled once its display period has begun, because the service has been delivered — your brand has been shown.
When we do refund
We refund in the following circumstances, without needing to be asked where we detect the problem ourselves:
- We fail to display your placement. If a technical failure on our side means your brand was not shown for a material part of the display period you paid for, we refund proportionately.
- Duplicate or erroneous charge. If you are charged twice for the same placement, or charged an amount that does not match your winning bid, we refund the difference in full.
- We cancel the round. If we withdraw a display period after bidding has closed, every charged bidder is refunded in full.
If your creative is not approved
Every creative is reviewed against our creative guidelines before it is shown. If we cannot approve what you submit, we will tell you why and ask you to supply something that meets the guidelines.
Your placement is held while you do this. You do not lose the position you won, and no refund arises, because the service is still delivered once compliant artwork is supplied.

How refunds are made
Any refund is made to the original payment method. We cannot refund to a different card, account or person.
Once we initiate a refund it is typically credited within 5 to 7 working days, though the exact timing is set by your bank or card issuer and is outside our control.
How to raise a problem
Email hello@topbilling.in with the invoice number or the date of the placement. We aim to respond within two working days.
